As the personal assistant to the MD, you will be the gatekeeper of the Principal’s business activities. Common sense and the ability to work unsupervised are intrinsic requirements as you will be responsible for facilitating the smooth running of the company at a day to day level. With a high level of responsibility, it is the responsibility of the PA to manage complex calendars, schedule appointments and meetings, reserve exhibition space, appoint external contractors and co-ordinate travel arrangements for all members of the team. Acting as a liaison between the management and external clients, the PA’s role makes a vital contribution to the success of the business as a whole. In addition to prioritising appointments and business activities, you must take charge of business correspondence, being able to make reasoned decisions and act upon them quickly and efficiently. The candidate will perform a broad variety of functions to include the following: • Answer telephone calls. Do follow up on calls. • Check mail, and distribute to correct department supervisors. • Conduct research and compile typed reports and presentations. • Runs personal errands, coordinates personal appointments, & social activities. Education and experience requirements: • Some college preferred. • Excellent software skills: PowerPoint, MS Word, Excel and Outlook. • Excellent oral and written communication skills needed. • Must be a self motivated and able to work independently. • Previous personal/office assistant experience. • Discretion and ability to maintain the individual’s privacy. • Excellent follow-up skills. • Extremely strong organizational skills; strong attention to detail. • Articulate, resourceful and tactful. • Non smoking environment.
