Top Position is seeking an office administrator capable of coordinating multiple tasks simultaneously, based in the San Francisco office.

Duties are diverse and include elements of customer service, administration duties and payment processing. You must be efficient, organised and flexible. Attention to detail is crucial, as is experience and familiarity with Microsoft Office, Internet Explorer and Outlook Express. As a search marketing agency, Top Position uses internet-based technology on a daily basis so you must be comfortable navigating between our in-house systems and the client interface.

Office Administration Planning and preparation of daily activities, scheduling appointments, filing contracts and ordering office supplies will be recurring responsibilities. Time management is essential if all tasks are to be completed on time to the expected standard.

Customer Service As the office administrator, you will undertake reception duties and must therefore direct client calls and respond to client payment and account queries courteously and efficiently.

Client Development You will help to implement the day to day activities of the company so will arrange courier services to send important documentation to other Top Position offices and to clients. You will also be called upon to assist in the planning on some marketing activities such as confirming orders with suppliers and ensuring payments for equipment have been processed and correctly invoiced.

Payments You will process all client invoices, taking payment and organising payment schedules for late invoices as appropriate. You may be called upon to provide copies of previous invoices or advise the client that payment is pending or has been taken. You will deal with billing queries and maintain spreadsheets of payments pending and payments taken. Salary up on application. Apply here
